Food Trucks - Terms and Conditions
- Space Allocation - Each participating food truck vendor will be provided with a designated space sufficient for one (1) food truck. The exact location and dimensions of the space will be communicated in advance by the event organizers. - Vendors are responsible for ensuring that their truck fits within the allocated space and does not obstruct neighboring vendors or pedestrian traffic.
- Setup and Breakdown - Vendors must arrive and set up within the specified setup time. Late arrivals may not be accommodated, and no refunds will be issued in such cases. - Breakdown and departure must occur within the designated time frame at the end of the event. Vendors are required to leave the space clean and free of debris.
- No Power, Electricity, or Water - The venue does not provide power, electricity, or water. Vendors must be fully self-sufficient and bring any necessary generators, water supplies, and other utilities required for their operation. - Vendors are encouraged to use quiet, low-emission generators to minimize noise and environmental impact.
- Health and Safety - All vendors must comply with local health department regulations and maintain the necessary permits and licenses to operate. - Vendors are required to follow all food safety protocols, including maintaining proper food temperatures, hygiene practices, and waste management. - Fire safety equipment (e.g., fire extinguishers) must be present and easily accessible in each food truck.
- Waste Management - Vendors are responsible for managing their own waste, including proper disposal of cooking oil, food waste, and packaging materials. - Trash and recycling must be contained within the truck or designated waste bins provided by the vendor. Leaving waste in the venue's public areas is strictly prohibited.
- Sales and Transactions - Vendors are responsible for handling all sales transactions, including cash and card payments. The event organizers are not liable for any financial transactions or discrepancies. - Vendors are encouraged to have mobile payment options (e.g., Square, PayPal) as there will be no access to electricity or Wi-Fi at the venue.
- Insurance and Liability - Vendors must have appropriate insurance coverage, including general liability and auto insurance, to operate their food truck at the event. - The event organizers and venue are not responsible for any loss, theft, damage, or accidents that may occur during the event. Vendors are responsible for their own property and equipment.
- Compliance with Local Regulations - Vendors must comply with all local, state, and federal regulations, including those related to food safety, health permits, fire codes, and business licensing. - Vendors are responsible for obtaining and maintaining all necessary permits and licenses required to operate their food truck.
- Marketing and Promotion - Vendors are encouraged to promote their participation in the festival through their own marketing channels, including social media, email newsletters, and websites. - The event organizers will also promote the festival and may feature participating vendors in promotional materials. Vendors agree to allow the use of their business name, logo, and menu items in such promotions.
- Code of Conduct - Vendors are expected to conduct themselves professionally and courteously, treating customers, event staff, and other vendors with respect. - Any behavior deemed inappropriate by the event organizers may result in the removal of the vendor from the event without a refund.
- Cancellations and Refunds If the event is canceled by the organizers due to unforeseen circumstances, vendors will be notified as soon as possible, and any applicable refunds will be processed based on the specific situation.
- Amendments The event organizers reserve the right to amend these terms and conditions as necessary. Any changes will be communicated to vendors in advance of the event.
- By registering for and participating in the book festival, you agree to abide by these terms and conditions.
